Office cleaning
An office cleaning plan: what, how often, when
Whether an office, law firm or medical practice looks consistently well kept depends less on a single cleaning product than on a structured cleaning plan (cleaning specification). For regular contract maintenance cleaning, it sets out clearly which zones and touchpoints are cleaned at which intervals, making quotes from commercial cleaning companies directly comparable.
Recording all zones and floor coverings in the specification
Walk through your commercial premises once and note all functional areas with approximate square metres and flooring types (fitted carpet, vinyl/LVT, linoleum, tiles or parquet): individual and open-plan offices, meeting rooms, kitchenette, washrooms, reception, corridors and stairwells. Restricted areas that must not be entered – such as server rooms, labs or confidential archives – are explicitly excluded.
Periodic specialist services such as window and shopfront cleaning, deep carpet extraction or machine floor stripping and polishing are not weekly tasks. They are scheduled as separate items at fixed intervals.
Cleaning intervals: matching frequency to footfall and hygiene
Not every zone requires the same cleaning frequency. Washrooms, kitchenettes, reception desks and high-frequency touchpoints (door handles, light switches, handrails) have high hygiene demands, whereas desks and meeting rooms often manage with a weekly schedule. For medical practices, physiotherapy clinics or law firms, the cleaning specification is aligned with the site’s hygiene plan.
A proven sample schedule for regular commercial office cleaning:
- Every visit: empty waste bins, sanitary cleaning (toilets, basins, mirrors), wipe kitchenette and touchpoints, vacuum/mop main walkways
- Weekly: clear desk surfaces, monitor/phone surrounds, windowsills, glass door finger marks and meeting rooms in full
- Monthly: radiators, door leaves and frames, skirting boards, cupboard tops and vacuuming upholstered chairs
- Quarterly or six-monthly: interior and exterior window cleaning including frames, plus deep cleaning of hard floors and carpets
Cleaning times, key handover log and confidentiality
Most office and commercial cleaning takes place early in the morning before staff arrive or in the evening after business hours so phone calls and client meetings are never disrupted. Key handover, master key systems, transponders, alarm codes and emergency contacts are recorded beforehand in a written key receipt log.
Confidentiality and data protection are standard practice: on desks with open files or paperwork, cleaners wipe around documents only and never move papers. If you want full desk surfaces wiped down, a simple team rule such as a clear-desk Friday works best.
Comparing office cleaning quotes transparently
A flat rate per square metre or a low hourly rate says little about actual quality without a written task specification. Commercial cleaning quotes only become comparable when every provider prices the exact same zones, tasks and frequencies.
Also check whether professional cleaning agents, equipment and washroom consumables (liquid soap, paper hand towels, toilet tissue, bin liners) are included, how holiday and sickness cover is organised, and who serves as your dedicated account contact.
